Will my columns stay on one page?

Yes. Each sheet is scaled to the page width in landscape, so no column is pushed onto a separate page. Long sheets still continue down onto more pages.

A grid with no page edge

A worksheet is built for the screen, not for paper. It can run to more than sixteen thousand columns and a million rows, and Excel only decides where pages begin and end when you print. Unless someone has set up the page layout carefully, the default is portrait paper and natural column widths, which is why a budget or a schedule so often prints as a stack of strips: the first five columns on pages one to four, the rest on pages five to eight.

This page starts from the layout most workbooks need instead. Pages are landscape, which suits the wide shape of most tables, and Fit sheet width to page scales each sheet so that all its columns fit across one page. Rows then continue down the following pages in the order you read them, and every page shows complete rows.

Every sheet in the workbook is included by default, one after another, each starting on a new page. That makes a workbook with a summary tab and several detail tabs into a single PDF report you can send as one file.

XLSX

Excel workbook

Microsoft Excel's default format since 2007, built on the Office Open XML standard. A workbook can hold several sheets with formulas, charts, formatting and data validation. Excel, Google Sheets, Numbers and LibreOffice all open it, though some advanced features only work in Excel.

PDF

PDF document

Adobe's Portable Document Format from 1993, now an open ISO standard. It fixes text, images and layout so a page looks the same on every screen and printer, and it can carry forms, links and transparency. Every operating system and browser can open it, though editing the content is harder than in a word processor.

Why convertAn .xlsx workbook holds live formulas on a grid with no page edges; the PDF turns the current values into pages someone can read and print. Convert when the numbers are final and have to be shared as a report, not edited.

Choosing what each page shows

The defaults suit typical tables, but workbooks vary a great deal. A financial model with 40 columns, a single-tab invoice and a monthly roster each want something different from the page. These are the settings that make the biggest difference, all under Advanced settings.

Whatever you choose applies to every workbook in the batch. If one file needs A3 and the rest fit on A4, convert the wide one separately. Charts placed on a sheet are drawn where they sit, and a chart on its own chart sheet gets a page of its own, scaled to fit.

Keep Fit sheet width to page on and switch Page size to A3. The larger sheet gives the scaled columns more room, so the type stays readable. Hiding helper columns in Excel first helps even more.

Getting the workbook ready

A few minutes in Excel saves a second conversion. Set a print area if only part of a sheet matters, turn on Print Titles so the header row repeats at the top of every page, and recalculate before saving if the workbook pulls in live data. Gridlines appear only if they are set to print in Excel's page setup, so turn them on there if the PDF needs cell borders.

Older .xls workbooks and OpenDocument .ods files convert in the same batch. If you only want to move an old .xls into the current format, XLS to XLSX does that without making a PDF. For text-only data, such as a .csv export, open it in a spreadsheet first or turn it into a workbook with the Data Converter, then convert that here. Word and slide files go through Convert to PDF in the same way.

Check the result once before sending it. Open the PDF and scroll through it at full size: if any page is too small to read, go back and use a larger page size, or split a very wide sheet into two narrower ones in Excel. Uploaded workbooks are deleted once converted, and the PDFs 30 minutes after they are ready.

How to convert XLSX to PDF

  1. Add the workbooks

Drop .xlsx files on the box above, or press Choose Files. Older .xls, .xlsm and .ods spreadsheets work too.

  2. Check the layout

Landscape, Fit sheet width to page and All sheets are already set. Pick Active sheet only under Advanced settings if you need just one tab.

  3. Convert and download

Press Convert to PDF, then save each workbook as a PDF or download them together.

XLSX to PDF questions

Why does my spreadsheet print across so many pages?

Excel splits a sheet wherever the paper ends, first down and then across. A sheet a few columns too wide doubles its page count, and the right-hand columns end up pages away from the rows they belong to. Fit sheet width to page scales the columns to one page width so that cannot happen.

Does fitting the width make the text tiny?

Only on very wide sheets. A sheet a little too wide is scaled down slightly; one with dozens of columns gets small type. For those, choose A3 under Page size, which gives about 1.4 times the width of A4, or hide columns you do not need before converting.

Are hidden sheets and columns included?

No. Hidden rows, columns and sheets stay hidden, just as they would when you print from Excel. Unhide them first if the PDF should show them.

Will a print area set in Excel be respected?

Yes. If a sheet has a print area, only that range is converted. Clear the print area in Excel if you want the whole sheet.

Will the formulas keep calculating once it is a PDF?

No. The PDF shows the values the formulas had when the file was last saved. Recalculate and save the workbook in Excel first if it uses live data or dates such as TODAY().

Can I convert the PDF back into a spreadsheet?

Yes, PDF to Excel rebuilds tables from a PDF as an editable workbook. Keeping the original .xlsx is still the more reliable way to edit the numbers later.
