Who needs the notes in the PDF

Speaker notes hold the part of a talk that never appears on screen: the explanation behind a chart, the story that goes with a photo, the figures the presenter wants to quote exactly. When a deck is shared as plain slides, all of that is lost, and the reader gets headings and pictures without the argument that connected them.

A notes PDF keeps both. Students use it to study a lecture, colleagues use it to give a talk when the original presenter is away, and speakers print it to rehearse without a laptop. It is also a simple way to hand over a talk for translation or review, because the reviewer sees each slide and the words meant to go with it on the same page.

Since the .pptx format follows the public Office Open XML standard shown above, the notes are stored in a predictable place inside the file. That is what lets the converter find them without PowerPoint, whichever program saved the deck.

PPTX

PowerPoint presentation

PowerPoint's default format since 2007, based on Office Open XML. It holds slides with text, images, charts, transitions and animations, plus speaker notes. PowerPoint, Keynote, Google Slides and LibreOffice Impress can open it, with some effects rendered differently.

Adobe's Portable Document Format from 1993, now an open ISO standard. It fixes text, images and layout so a page looks the same on every screen and printer, and it can carry forms, links and transparency. Every operating system and browser can open it, though editing the content is harder than in a word processor.

Why convertA .pptx deck splits a talk between the slides and hidden notes; the PDF lays both out on paper-sized pages that anyone can read. Convert when the talk has to be studied, rehearsed or passed on, not presented from a laptop.

What the slides look like after conversion

Each slide is drawn in its final state, as if every animation had already played. Builds that reveal bullet points one at a time show all the points at once, transitions are dropped, and embedded video appears as its poster frame. Charts, SmartArt, tables and pictures look as they do in PowerPoint, and links to web pages stay clickable.

Wide 16:9 slides and older 4:3 slides both keep their own proportions. When the notes are included, the page holds the slide in the upper part and the text below it. Notes that run to several paragraphs per slide are hard to read on one page, so consider splitting them across two slides in PowerPoint before converting.

Check the notes themselves before you share the file. Presenters often leave reminders to themselves, such as timing cues, private remarks about the audience or numbers that were later corrected on the slide. Everything in the notes pane goes into the PDF word for word, so tidy it in PowerPoint first, or untick Include speaker notes for any copy that leaves your team.

Decks from Google Slides, Keynote and older PowerPoint

Google Slides and Keynote can both export a .pptx, and that file converts here like any other. Older decks saved as .ppt work too; the PPT to PDF page explains what changes with the binary format from PowerPoint 97 to 2003. If you want to keep editing a Keynote presentation in PowerPoint rather than make a PDF, the Document Converter turns .key files into .pptx.

Every deck in a batch gets the same settings. You can add up to 20 files of up to 95 MB each, choose a slide range under Pages & content, and download the PDFs one at a time or together. For Word and Excel files that go with the talk, the Convert to PDF tool takes them in the same way.

Page size follows the slides unless you change it. Under Page layout you can force A4 or Letter instead, which is useful when the notes PDF will be printed on an office printer rather than read on screen. A password can be added under Security for decks with confidential figures, and Remove metadata drops the author and company names that PowerPoint saved in the file. None of these settings touch the .pptx you uploaded; it is deleted from the server once the PDF is ready, and the PDF itself is removed 30 minutes later.

PPTX to PDF questions

How do I get a PPTX to PDF without the speaker notes?

Open Advanced settings, find Pages & content and untick Include speaker notes. Each slide then fills its own landscape page, as in a slide show.

Where do the notes appear on the page?

Below the slide they belong to, the same layout PowerPoint calls Notes Page.

Can I convert a Google Slides presentation?

Yes. In Google Slides choose File, Download, Microsoft PowerPoint (.pptx), then upload that file here. Speaker notes written in Slides are saved in the .pptx and appear in the PDF.

Do embedded fonts in my PPTX carry over?

Yes. Fonts embedded in the deck are used, and every font in the PDF is embedded again, so the slides look the same on the reader's screen. A font that is neither embedded nor available is replaced by a close match.

Will slide numbers and footers show?

Whatever PowerPoint shows on the slide is drawn in the PDF, including slide numbers, dates and footers set under Header & Footer. Turn them on in PowerPoint before converting if you want them.

Can I convert a PDF back into slides?

Yes, with PDF to PPT. The slides come back as pages you can edit, though animations and notes from the original deck are not restored.
