Will the comments from my DOCX appear in the PDF?

Yes, on this page they do: comments and tracked changes are printed in a margin beside the text. Untick Include comments for a clean copy without them.

Clean copy or review copy

DOCX has been Word's default file type since 2007. It is a ZIP package that holds the text, styles, comments and pictures as separate XML parts, and Google Docs, Pages and LibreOffice write it too, which is why most documents you receive today end in .docx.

A .docx file can carry two versions of the same document at once: the text as it reads now, and the trail of suggestions left by everyone who edited it. Tracked insertions and deletions, comment threads and the names attached to them all live inside the package, even when Word hides them on screen.

That makes the PDF a decision. A supervisor, a client or an editor who is asked to approve a draft often needs to see the markup, so this page starts with Include comments switched on: comments and tracked changes are printed in a margin next to the text they belong to. When the document goes to someone outside the team, untick the option and the PDF shows only the final wording. Either way, check the document once in Word before converting. A comment you resolved but did not delete still counts as a comment, and a deletion you forgot to accept is still part of the file.

DOCX

Word document

Microsoft Word's default format since 2007, based on the openly published Office Open XML standard. It stores editable text with styles, tables, images and comments in a zipped package. Word, Google Docs, LibreOffice and Pages all open it, though complex layouts can shift slightly between programs.

  • Open standard

PDF

PDF document

Adobe's Portable Document Format from 1993, now an open ISO standard. It fixes text, images and layout so a page looks the same on every screen and printer, and it can carry forms, links and transparency. Every operating system and browser can open it, though editing the content is harder than in a word processor.

Why convertA DOCX keeps its edit history, comments and reflowing text; the PDF freezes one moment of it into fixed pages. Convert when a draft needs a stable copy for sign-off or a record of what reviewers asked for, and keep editing in the .docx.

Files from Google Docs, Pages and LibreOffice

Because DOCX is a published format, many programs write it. Google Docs saves one when you download a document for Word, Pages exports one for colleagues on Windows, and LibreOffice can use it as its default. Each of them stores the same parts, so the converter treats them the same way.

Small differences can still show up. A font that exists only in Google's library may be missing from the file and replaced by a similar one, and a layout built with text boxes in Pages may sit a few millimeters off. If the PDF must match what you see in the original program, export to PDF from that program; if you only have the .docx, this page gives the closest result without installing anything.

Embedded objects deserve a quick look as well. A chart pasted from Excel or an equation from Word's equation editor is drawn as it last appeared in the document, so update linked charts before converting. Hyperlinks stay clickable in the PDF, and cross-references such as "see page 12" keep the numbers Word last calculated.

How to convert DOCX to PDF

  1. Add the .docx files

Drop your documents on the box above or press Choose Files. Files saved from Word, Google Docs, Pages or LibreOffice all work.

  2. Decide on the markup

Include comments is on, so the PDF shows comments and tracked changes. Untick it under Advanced settings for a clean copy.

  3. Convert and save

Press Convert to PDF, then download each PDF or the whole batch at once.

DOCX to PDF questions

How do I make a PDF of a DOCX file without the comments?

Open Advanced settings, go to Pages & content and untick Include comments. The PDF then shows the text as if every tracked change had been accepted, with no balloons in the margin.

My DOCX came from Google Docs. Will it convert the same way?

Yes. Google Docs writes standard .docx files when you choose File, Download, Microsoft Word. Comments made in Docs are exported with the file, so they appear in the PDF when Include comments is on.

Why is a .docx file actually a ZIP archive?

The Office Open XML format stores a document as several XML files plus the pictures, packed together with ZIP compression. That keeps the files small and lets other programs read them. A PDF, by contrast, is one file that describes finished pages.

Can I convert only the pages a reviewer needs?

Yes. Under Pages & content, choose Page range and type the pages, for example 4-9, 12. The numbers follow the page count of the original document.

What happens to a DOCX file that has a password?

A .docx protected with an open password cannot be read without it, so the conversion stops. Remove the password in the program that set it, save, and upload the file again.

Is a DOCX with macros safe to upload?

Macros only live in .docm files, and they are never run here. The converter reads the text, styles and pictures and draws the pages; any code in the file is ignored.

How the DOCX format came about

From Ecma standard to ISO standard

  1. Specification

    Ecma International ECMA-376

    Source
  2. Specification

    ISO/IEC 29500-1

    Source

Microsoft introduced the XML-based format with Office 2007 and submitted it to Ecma International, which published it as ECMA-376. Two years later it became ISO/IEC 29500. That public specification is the reason other programs can open and write .docx files at all, and the reason this converter can read them without Word.

PDF went the same way: Adobe's format became the open standard ISO 32000. Turning one documented format into another is predictable, which is why tables, footnotes and numbered lists survive the trip intact.

Settings worth knowing

Most documents need nothing beyond the defaults. The options below matter when a DOCX is long, shared widely or headed for a formal submission. All of them sit under Advanced settings and keep their values for the whole batch, so set them once before adding 20 files. To change the format of the document itself rather than make a PDF, use the Document Converter page; to lock the finished PDF, see the Protect PDF tool.

Bookmarks from headings

On by default. Paragraphs styled Heading 1 to Heading 3 become an outline in the PDF reader's sidebar, so a 40-page report can be read by section.

Page size and margins

Same as source keeps whatever the DOCX defines. Choose A4 or Letter when a document written in one country is printed in another, and the text is fitted to the new page.

PDF/A

The archival variant of PDF, with every font embedded and no encryption. Pick it when a court, university or records office asks for it.

Remove metadata

Off on this page, so the author and title fields are kept. Turn it on to drop the author, company and editing history before the file leaves your team.
