Why send a PDF instead of the Word file
A Word document is a set of instructions, not a finished page. Each time it opens, the program rebuilds the layout from the text, the styles and the fonts it finds on that computer. Open the same file in another version of Word, in a phone app or in a different word processor, and the result can drift: a heading jumps to the next page, a table splits in two, a signature line moves under the fold.
A PDF is the finished page itself. Once the layout is fixed, every reader sees the same lines in the same places, which is why job applications, invoices, contracts and school assignments usually ask for one. It also stops casual edits: the reader can comment on or sign a PDF, but not quietly rewrite a paragraph.
Converting here takes the work off your machine. You do not need Word installed, so a document received on a borrowed laptop, a tablet or a phone can still become a PDF in a browser. The same page also takes PowerPoint, Excel and OpenDocument files; the Convert to PDF page lists every source format it reads.
DOCX
Word document
Microsoft Word's default format since 2007, based on the openly published Office Open XML standard. It stores editable text with styles, tables, images and comments in a zipped package. Word, Google Docs, LibreOffice and Pages all open it, though complex layouts can shift slightly between programs.
- Open standard
PDF document
Adobe's Portable Document Format from 1993, now an open ISO standard. It fixes text, images and layout so a page looks the same on every screen and printer, and it can carry forms, links and transparency. Every operating system and browser can open it, though editing the content is harder than in a word processor.

- Still images only

Why convertYou give up easy editing in exchange for a page that cannot reflow. Choose PDF when the document is final and the reader should see it exactly as you do; keep sending the Word file while people still need to change the text.
Sending the PDF by email
A PDF made from a text-heavy document is usually small, but photos and scanned pages inside the Word file are carried over at their own size. If the converted file is too big for an attachment, lower Image quality under Advanced settings, or run the result through Compress PDF before you send it.
Gmail and Outlook count the encoded size of the whole message, which is larger than the files on disk. Leave some room below the Gmail limit shown below when you attach several PDFs to one email.
Some recipients need more than a plain PDF. A document with salaries or medical details can get an open password under Security, and a contract that will be stored for years can be saved as PDF/A instead. If you already have a PDF and only want to lock it, Protect PDF adds the password without converting again.

From Gmail Help. Larger files are sent as a Google Drive link instead of an attachment.

Word to PDF questions
Why does my Word document look different on someone else's computer?
Word lays out each page with the fonts installed on the machine that opens it. If the reader lacks one of your fonts, Word picks a substitute, lines get longer or shorter and page breaks move. A PDF carries the fonts inside it, so the pages stay fixed.
Is my name removed from the PDF?
Yes, by default. Remove metadata drops the author, company and editing details that Word stores in the file. Untick it under Advanced settings if you want the PDF to keep them.
Will comments and tracked changes show up?
No. The PDF shows the document as if all changes were accepted and comments hidden. Turn on Include comments if you need a review copy with the markup in the margin.
Do headings become bookmarks?
Yes. Text styled as Heading 1, 2 or 3 in Word becomes a clickable outline in the PDF reader's sidebar. Headings typed as bold body text are not picked up, because Word does not know they are headings.
Can I convert several Word files into one PDF?
Each document becomes its own PDF. To join them, convert first and then combine the results with Merge PDF, which also lets you put the files in order.
Can I edit the PDF afterwards?
Only lightly, in a PDF editor. Keep the Word file as your working copy and convert again after each change; if you only have the PDF, PDF to Word turns it back into an editable document.
What the PDF leaves behind
Word keeps more than the visible text. The file records the author's name, the company set during installation, the total editing time and sometimes the names of everyone who left a comment. On this page Remove metadata is switched on, so the PDF you send carries none of that. Untick it if your organization expects the author field to be filled in.
Comments and tracked changes are left out unless you turn on Include comments, so the reader gets a clean final copy. Do accept or reject the changes in Word first, though: the PDF shows the document as if every pending change had been accepted, which may not be what you meant.
Use Heading styles for titles
Text styled Heading 1 to Heading 3 turns into PDF bookmarks. Titles typed as bold body text are not recognized, so the outline stays empty.
Settle tracked changes first
Accept or reject pending changes in Word before converting. The PDF shows the text as if every change had been accepted.
PDF/A for formal submissions
Pick PDF/A at the top of the tool when a court, university or archive asks for it. It embeds every font and cannot carry a password.
Do not just rename the file
Changing .docx to .pdf only changes the label. The content is still a Word file, and readers and upload forms will refuse it.
Word files this page reads
Modern Word files use the .docx format, defined in the ECMA-376 standard as a ZIP package of XML parts. Files from Word 2003 and earlier use the older binary .doc format. This page accepts both, along with templates (.dotx, .dot) and macro-enabled documents (.docm); macros are never run.
What Word draws on the page is what you get in the PDF: text, tables, images, headers, footers, page numbers, footnotes and hyperlinks. Headings styled as Heading 1 to 3 become bookmarks, so a long report gets a clickable outline in the reader's sidebar.
