Which output fits the job
PDF was designed to show a page the same way everywhere, not to be edited. Inside the file, text is stored as positioned runs of characters, often broken mid-line, and tables are just text and lines that happen to sit in a grid. Converting means reading those pieces back and rebuilding a document that a word processor, spreadsheet or slide program understands. The best target depends on what you want to do next.
Start from the program you will open the result in. If a colleague sent a signed agreement and you need to change a clause, Word or OpenDocument is right. If a bank statement or price list has numbers you want to sort and sum, a spreadsheet saves you from retyping each cell. If a report needs to become a talk, slides give you one editable page per screen. When none of that matters and you only want the words, plain text is the lightest and most portable choice.
The cards below list the eleven outputs in six groups. Every file in a batch is converted to the same target, so run separate batches when some documents should become spreadsheets and others Word files.
Word or ODT. Edit a contract, a letter or a report. Headings, paragraphs, lists and pictures come back as editable content. A typical example is the PDF to Word tool. Excel or CSV. Work with figures from a statement or an invoice. Detected tables become rows and columns, one sheet per table by default.
PowerPoint. Reuse a handout in a presentation. Each PDF page becomes one slide that you can rearrange and edit. EPUB. Read a long document on an e-reader, where the text reflows to fit the screen instead of being fixed to a page.
Text or Markdown. Paste the words into an email, a notes app or a site. Layout is dropped; Markdown keeps headings and lists as simple marks. HTML or JSON. Publish the content on a web page, or feed its text and structure to another program or script.
Scanned pages and text recognition
- OCR
- Also called optical character recognition · text recognition
- Software that looks at a picture of a page and works out which letters it shows. A scanned PDF has no real text, only images of paper, so it needs OCR before its words can be edited, searched or copied.
Many PDFs come from scanners, phone apps or fax systems. They look like documents but contain only one picture per page. Converting such a file to Word without OCR gives you a document full of images and no text at all. With Text recognition on Auto, the converter checks every page and runs OCR only where no text layer exists, so mixed files with some typed and some scanned pages work too. Always forces OCR on every page, which helps when a PDF has a broken or garbled text layer.
Set Document language to the language printed on the page. There are 34 to choose from, including several non-Latin scripts. The right language matters for accents, ligatures and characters that look alike, such as the letter O and the digit zero. OCR is good, but it is not proofreading: check names, amounts and dates before you rely on the converted text.
Scan quality has the largest effect on the result. Straight pages, even lighting and enough resolution give clean text, while skewed or blurred photos produce errors. If pages came out sideways, straighten them with the Rotate PDF tool before converting.
Recognition also works when you convert to plain text, Markdown or JSON, which is handy for pulling the words out of a stack of scanned letters for search or indexing.
Layout, images and pages
The Layout setting decides how faithful the result is to the page versus how easy it is to edit. Flowing text joins lines into paragraphs and lets the word processor handle wrapping, so you can type, delete and restyle freely. Exact layout places each text block in a frame at its original position. That looks like the PDF but makes editing awkward, because changing one paragraph does not move the others.
Keep images brings pictures and figures into the new file. Turn it off when you only care about the words and want a smaller document. For spreadsheets, Sheets sends each detected table to its own sheet, puts each page on a sheet, or puts everything on one, and Tables only skips headers and running text. Pages to convert limits the job to the page numbers or ranges you type.
A common trap is the PDF that looks like text but was printed to PDF as an image, for example from some scanners or screenshot tools. If you cannot select a word in your PDF viewer, the page has no text layer, and only OCR will get the words out. Leaving recognition on Auto covers this case without any extra step.
Spreadsheet output deserves one more note. Tables in a PDF have no cells, only text placed in columns, so the converter groups text by position to rebuild rows. Ruled tables with clear lines convert most reliably. For tables without lines, check that columns did not merge, and use the per-page sheet option if one long table broke across pages.
What may not survive the conversion. A PDF can hold things that have no direct equivalent in an editable file, so check the result for these after converting. Fonts that are not installed on your computer are replaced with similar ones. Text drawn as outlines or inside images is not recognized as text unless OCR runs. Complex tables with merged cells may split into several simpler ones. Form fields, comments and digital signatures do not carry over.
The PDF format in brief
PDF has been an open ISO standard since ISO 32000-1 in 2008; the current version is PDF 2.0, ISO 32000-2.
Adobe released PDF in 1993 so that a document would look the same on any computer and printer. That goal explains why converting out of PDF takes work: the format records where every glyph sits on the page, not which words form a sentence or which cells form a table. A converter has to infer that structure, which is easy for a simple letter and harder for multi-column magazines or dense financial reports.
Files saved straight from an office program or a website usually convert best, because their text layer is clean and complete. PDFs that passed through many tools, were printed to PDF several times, or had their fonts converted to outlines carry less usable structure, and the result needs more tidying. When the output looks wrong, try the other layout mode or turn OCR to Always; one of the two usually gives a cleaner draft to start editing from.
Converting in the other direction is simpler, because the source program already knows the structure. To turn Word, Excel or PowerPoint files into PDF, use the Convert to PDF tool. To get pictures of the pages instead of editable content, use the PDF to Image tool, and to make a large PDF lighter before sending it, Compress PDF.

PDF converter questions
Will the Word file look exactly like the PDF?
Close, but not always identical. Flowing text rebuilds normal paragraphs that are easy to edit, so line breaks and spacing can shift. Exact layout keeps each block where it was, which looks closer to the original but is harder to edit.
Can I convert a scanned PDF to editable text?
Yes. With text recognition on Auto, pages that have no text layer are read with OCR. Pick the language printed on the page for the best accuracy, and proofread names and numbers afterwards.
How do I get only the tables into Excel?
Choose XLSX, keep Tables only switched on, and decide whether each table, each page or the whole document goes to one sheet. Headers and running text are then skipped.
Can I convert just a few pages?
Yes. Set Pages to convert to selected pages and type numbers or ranges separated by commas. To keep those pages as a PDF instead, use the Split PDF tool.
Why do I get an error with a password-protected PDF?
A file that needs a password to open cannot be read until it is unlocked. If you know the password, remove it first with the Unlock PDF tool, then convert the unlocked copy.
Which format should I pick to reuse text in another program?
Word (DOCX) or OpenDocument (ODT) keep headings, lists and images. Plain text, Markdown and JSON drop the layout and suit tools that only need the words or the structure.
Do you keep a copy of my documents?
No. Uploads are removed when processing ends and converted files are deleted after 30 minutes. Nothing is reused or shared, and you do not need an account.
