Scanned PDFs are pictures of pages. Auto runs OCR only on pages without a text layer; On forces it for every page.
The language printed in the scan. Picking the right one noticeably improves accuracy for accents and non-Latin scripts.
Flowing text reflows into normal paragraphs that are easy to edit. Exact layout places every block where it was, which looks identical but is harder to edit.
Where detected tables go in the workbook.
Page numbers or ranges separated by commas, e.g. 1-3, 5, 8-10.

In short
- 1Each table found in the PDF becomes its own sheet in an XLSX workbook.
- 2Numbers and dates land in cells as values, so formulas and sorting work.
- 3Running text is left out by default, so you get the data without paragraphs.
- 4Scanned pages are read with OCR before the tables are built.
Why tables are hard to copy out of a PDF
A table in a PDF is not stored as rows and columns. The file only knows that a string of characters sits at a certain position on the page, and that some thin lines are drawn nearby. When you copy and paste from a PDF viewer, Excel receives lines of text with spaces between them, and every value ends up in column A.
The converter does the opposite of pasting. It looks at how text lines up vertically and horizontally, uses ruling lines where they exist, and works out which values share a row and which share a column. Each detected table is then written as real cells, with header rows kept at the top.
This works best on tables with a clear grid: bank and card statements, invoices, price lists, timetables and financial reports. Tables drawn as pictures, for example in a scanned fax, go through OCR first, which makes clean source pages more important.

Adobe's Portable Document Format from 1993, now an open ISO standard. It fixes text, images and layout so a page looks the same on every screen and printer, and it can carry forms, links and transparency. Every operating system and browser can open it, though editing the content is harder than in a word processor.

XLSX
Excel workbook
Microsoft Excel's default format since 2007, built on the Office Open XML standard. A workbook can hold several sheets with formulas, charts, formatting and data validation. Excel, Google Sheets, Numbers and LibreOffice all open it, though some advanced features only work in Excel.

Why convertThe direction matters because Excel needs structure the PDF never stored: which value belongs to which row. Convert to XLSX when you want to calculate with the figures, not just read them.
XLSX is the workbook format Excel has used by default since 2007, and it opens in Google Sheets, Apple Numbers and LibreOffice Calc as well. Microsoft's Excel specifications page lists 1,048,576 rows by 16,384 columns per worksheet, so even a year of daily transactions fits on one sheet.
How to convert a PDF to Excel
Add the PDF
Drop a statement, invoice or report on the box above, or press Choose Files. Up to 20 PDFs fit in one batch.
Choose where tables go
Excel (XLSX) with One sheet per table is preset. Under Advanced settings you can put each page on its own sheet, or everything on one.
Convert and open in Excel
Press Convert, download the XLSX file and open it in Excel, Google Sheets, Numbers or LibreOffice Calc.
PDF to Excel questions
Does it keep numbers as numbers in Excel?
Values that look like numbers or dates are written as numbers and dates, so sums and sorting work right away. Check columns with unusual formats, such as amounts written with a trailing minus sign, after the conversion.
What about the text around the tables?
With Tables only on, which is the default here, headings and paragraphs are skipped and only the tables reach the workbook. Turn it off if you also want the surrounding text in the sheet.
Can it read a scanned bank statement?
Yes. Pages without a text layer are read with OCR first. Clear, straight scans give the best results, and choosing the statement's language under Advanced settings helps with accented names.
How do I join tables that continue over several pages?
Choose Everything on one sheet. Tables are placed one after another, so a statement that runs over many pages becomes one long list you can filter.
Can I get a CSV file instead of XLSX?
Yes. Change Convert to to CSV. Note that a CSV holds a single table with no formatting, so a PDF with several tables is better kept as XLSX.
Is there a limit on how big a table can be?
The converter takes PDFs of up to 95 MB. On the Excel side, Microsoft lists a worksheet limit of 1,048,576 rows by 16,384 columns, far more than any PDF table holds.

Each workbook is a normal Office Open XML file with no macros, so it opens without security prompts. The first row of each table stays a header row you can freeze or turn into a filter, and the sheets are named in the order the tables appear in the PDF.
Once the workbook is open, apply your own number formats, currency symbols and column widths. Those choices depend on how you plan to use the data, and setting them yourself takes seconds once the values sit in the right cells.
Checking the figures after conversion
Before you rely on the workbook, compare one total with the PDF. Most statements and invoices print a closing balance or a grand total; add up the converted column with a SUM formula and check that the two match. If they do, the rows were split correctly.
When a total is off, the usual causes are a row that wrapped onto two lines in the PDF, a value in brackets meaning a negative amount, or a thousands separator that differs from your Excel settings. Each of these is quick to fix with a filter on the affected column, and a cleaner scan avoids most of them in the first place.

A monthly statement that spans twelve pages is easiest to work with on one sheet, where a single filter covers every transaction. A quarterly report with a balance sheet, an income statement and a cash flow table reads better with one sheet per table. You can convert the same PDF twice with different settings and keep whichever workbook suits you.
If you need the paragraphs rather than the numbers, the PDF to Word tool keeps the full text, and the PDF Converter page lists every other output, including CSV and JSON for feeding tables into other software. Workbooks saved in the old .xls format can be brought up to date with XLS to XLSX.
