What will my text look like as a PDF?

Like a typed document: your text on A4 pages with one-inch margins, wrapped to the page width, with Markdown headings turned into real headings.

From loose notes to a document

Plenty of writing starts as plain text: meeting notes typed into a phone, a speech drafted in a notes app, a list of instructions for a house sitter, a reading summary written in Markdown. Text files are quick to write and open everywhere, but they look unfinished when printed, with lines that run the full width of the paper and no margins to speak of.

A PDF gives the same words the shape of a document. The text is wrapped inside proper margins and the file looks the same whether the reader opens it on a laptop, a phone or a printer at the library. It also travels better: email clients and chat apps show a preview of a PDF, and nobody's editor reformats it.

Saving text as a file is the one extra step. On a computer, any plain-text editor will do; on a phone, most notes apps can share or export a note as a .txt file. Once it is a file, drop it on the box above.

TXT

Plain text file

A file that holds characters only, with no fonts, images or layout. Any device and text editor can read it, which makes it the default for notes, logs and configuration. What it gains in reach it loses in formatting, since bold, tables and pictures cannot be stored.

PDF document

Adobe's Portable Document Format from 1993, now an open ISO standard. It fixes text, images and layout so a page looks the same on every screen and printer, and it can carry forms, links and transparency. Every operating system and browser can open it, though editing the content is harder than in a word processor.

Why convertPlain text keeps only the words, with no pages or margins; the PDF puts those words on numbered pages of a fixed size. Convert notes, drafts and Markdown when they need to be printed, handed in or read by someone who expects a document.

Plain text or Markdown

The converter reads two kinds of text file differently. A .txt file is treated as plain text: what you see in the editor is what goes on the page, including asterisks, hash signs and indents. A .md file is treated as Markdown, the lightweight formatting language used by note apps, wikis and code repositories, so a line starting with a hash becomes a heading and words between asterisks become bold or italic.

Headings in Markdown do one more useful thing: they become bookmarks in the PDF sidebar. A long study guide or a set of meeting minutes with a heading per topic can then be read by section. The options below decide how the pages themselves look.

If you are not sure which one you have, look at the end of the file name. Notes exported from apps such as Obsidian or Bear are usually .md, while Notepad and most phone exports produce .txt. Renaming a .txt file to .md is a quick way to have its headings and lists formatted, provided the text already uses Markdown symbols.

Page size

A4 by default. Letter, Legal, A3 and A5 are under Page size. A5 suits short handouts and booklets; A3 is rarely needed for text.

Margins

Normal is 25.4 mm left and right. Narrow (12.7 mm) fits more text on each page; wide (50.8 mm) leaves room for handwritten notes in the margin.

Orientation

Portrait suits almost all text. Choose landscape for wide tables written in Markdown or for logs with long lines.

PDF/A

The archival form of PDF. Choose it for minutes, records or statements that an office will store for years.

Characters, languages and encodings

Text files written in any language convert, as long as they are saved in a standard encoding such as UTF-8, the encoding used by almost every modern editor. Accented letters, Cyrillic, Greek, Chinese, Japanese and Korean text is printed with embedded fonts, so the PDF shows the same characters on any device.

If the original text came from an old program and shows odd symbols in place of accented letters, the file was probably saved in an older regional encoding. Open it in an editor that lets you pick the encoding, save it again as UTF-8, and convert the new copy. For logs, code and other .txt files whose line breaks must stay exactly as written, see TXT to PDF. Word, Excel and slide files go through Convert to PDF in the same way.

The PDF keeps the file name of the text file, so name your notes before you convert them. A batch of 20 files becomes 20 PDFs, each deleted from the server 30 minutes after it is ready.

How to convert text to PDF

  1. Save the text as a file

Add .txt or .md files with Choose Files. For text you have only on screen, paste it into Notepad or TextEdit and save it as plain text first.

  2. Check page and margins

Pages are A4 with normal margins. Switch to Letter under Page size for US paper, or choose narrow margins under Page layout.

  3. Convert and download

Press Convert to PDF, then save the PDF or download several at once.

Text to PDF questions

Can I paste text straight into the page?

Not on this page: it converts files. Paste the text into any plain-text editor, such as Notepad on Windows or TextEdit in plain-text mode on a Mac, save it as a .txt file and add that file here.

Does Markdown formatting show in the PDF?

Yes. A .md file is read as Markdown, so headings, bold and italic text, lists, links and code blocks are formatted rather than shown with their symbols. A .txt file is printed exactly as written, symbols included.

What are normal margins?

On this page, normal means 25.4 mm (one inch) on the left and right. Narrow is 12.7 mm and wide is 50.8 mm; all three are under Margins in Page layout.

Will long lines run off the page?

No. Lines are wrapped at the right margin, and a word that is too long for one line, such as a long web address, is broken where it reaches the edge.

Why A4 instead of Letter?

A4 is the standard sheet in most countries outside North America, and the size most schools and offices outside the US print on. If yours is a US office or school, pick Letter under Page size before converting.

Can I combine several notes into one PDF?

Each file becomes its own PDF. Join them afterwards with Merge PDF, where you can drag the files into the order you want.
