Compress PDF to 500 KB

500 KB is enough room for a short scanned document, such as a lease, a set of payslips or a three-page form, if every page is compressed with the same care. That is what this page is set up to do.

Target size
Also called size goal · maximum file size
A compression mode that takes a number, here 500 KB, and keeps re-encoding the pictures in a PDF until the whole file is below it. Text, links and page structure are not changed to reach the number.

How the compressor works toward 500 KB

A fixed level such as Recommended applies the same resolution to every file, whatever its size. A target works the other way round: it starts from the limit you need and finds the lightest treatment that gets there. For a file that is 600 KB, that may mean a small change to one picture. For a 6 MB scan, it means lowering every page.

The steps below run for each PDF in the batch. They repeat until the file fits or until the quality floor is reached, and the original file is never modified.

Because the tool stops at the first result below the limit, compressing the same file twice with the same target gives the same outcome. If you want a smaller file with more headroom, type a lower number, such as 450 KB, instead of compressing the output again.

  1. Read

The PDF is opened and every page picture is listed with its size.

  2. Measure

The total is compared with the 500 KB target.

  3. Re-encode

The largest pictures get a lower JPEG quality, then a lower resolution once the floor is reached.

  4. Write

A fresh PDF is saved with text, fonts and links untouched.

  5. Delete

Your upload is removed; the result is deleted after 30 minutes.

Where the compressed file opens

A compressed PDF is still a standard PDF, and the pictures inside it are ordinary JPEG images. That combination opens in the built-in viewer of every major desktop browser, so a reviewer can read your 500 KB file without any extra software, as the table below shows.

The compressor accepts large source files, so a heavy scan straight from an office copier is a fine starting point. What it cannot do is invent space: a 40-page color scan will not reach 500 KB with readable text, however it is compressed.

Where a 500 KB limit is likely

We could not find an official upload page that states exactly 500 KB for PDFs and that we could link to, so this page does not quote one. The number is still common in upload instructions that set their own caps, especially on recruitment and application systems that expect a few pages per document, and it sits between the per-page caps around 200 to 300 KB and the 1 MB limits used for longer files.

Take the number from the instructions next to the upload field, and check whether it is a limit per file or for all files together. If it is for all files, add up what you need to send and divide the 500 KB between them, then set each file to its share.

A few applications also expect a file to be at least a certain size, as a crude check that a document was scanned at a usable resolution. When both a minimum and a maximum are given, aim for the middle of the range rather than just under the top, so small differences in how the portal counts kilobytes do not push the file outside either end.

Keeping every page readable

Multi-page scans fail in a predictable way: the heaviest page drags the rest down. Before you compress, look for pages scanned in color for no reason, pages scanned twice, or blank backs of single-sided documents. Removing them with Split PDF gives the remaining pages more room than any setting can.

Grayscale helps most on paperwork, since color scans of white paper carry three times the image data for nothing. If one page has to stay in color, such as a page with a colored stamp, compress that page separately and combine the parts again with the Merge PDF tool. For the fixed compression levels without a target, use the main Compress PDF page.

How to compress a PDF to 500 KB

  1. Upload the document

Drop the PDF on the box above or press Choose Files. Multi-page files are fine; each page is handled inside the same 500 KB budget.

  2. Confirm the target

Target size is set to 500 KB. If the scans are black-and-white paperwork, also tick Convert to grayscale under Advanced settings.

  3. Compress and page through it

Press Compress, download the result and scroll through every page, not just the first, to check the text is readable.

500 KB PDF questions

How many scanned pages fit into 500 KB?

There is no fixed number, because it depends on how dense each page is and whether it is in color. As a rough guide, a few grayscale pages of ordinary print fit with readable text, while color pages with photos use the budget much faster.

Why is page 1 sharp and page 4 blurry?

Pages differ. A page with a photo or a colored letterhead needs more bytes than a page of plain text, so it is compressed harder to keep the whole file under the target. Rescanning that page in grayscale usually evens things out.

The form needs a file between 500 KB and 1 MB. Can I make a PDF bigger?

Some portals set a minimum as well as a maximum. Compressing only makes files smaller; Increase PDF Size adds size without changing what the pages show.

Does compressing to 500 KB remove links and bookmarks?

No. Links, bookmarks and the page order are kept. Only pictures are re-encoded, and unused data such as metadata and leftover objects is cleaned out.

Will the compressed PDF open on a phone?

Yes. The result is an ordinary PDF that phone browsers, Files apps and PDF readers open as usual, and it is quicker to send over a mobile connection.

What happens to my file after I download it?

Your upload is removed as soon as processing finishes and the compressed copy is deleted 30 minutes later. No account is needed, so there is nothing tied to you.
