Compress PDF to 1 MB
A 1 MB limit leaves room for a multi-page scan, but some portals apply it to all your documents together. Use the preset 1 MB target for one file, or a smaller share when several files have to fit.

Up to 95 MB each· 20 files at once· Removed after 30 min
Your files are removed from our servers 30 minutes after processing.
Images above this DPI are downsampled. 150 is sharp on screen and fine for office printing; 72 is screen-only.
JPEG quality for re-compressed images. 70 keeps scanned text readable; below 40 artefacts appear around letters.
When aiming for a target size, image quality never drops below this; resolution is reduced instead.

Paper size and the pixels behind a scan
| Size | Inches | Pixels at 300 dpi | Long edge |
|---|---|---|---|
| A0 | 33.11 × 46.81 | 9933 × 14043 | |
| A1 | 23.39 × 33.11 | 7016 × 9933 | |
| A2 | 16.54 × 23.39 | 4961 × 7016 | |
| A3 | 11.69 × 16.54 | 3508 × 4961 | |
| A4 | 8.27 × 11.69 | 2480 × 3508 | |
| A5 | 5.83 × 8.27 | 1748 × 2480 | |
| A6 | 4.13 × 5.83 | 1240 × 1748 |
A 1 MB budget is generous for one page and tight for twenty. The table shows why: an A4 page scanned at 300 dpi is about 2,480 by 3,508 pixels, and every scanned page in the file is a picture of that size unless the scanner was set lower. A few of those pages fit well under 1 MB once they are recompressed. Two dozen color pages do not, without making the text hard to read.
That is why the most useful question before compressing is not how much smaller the file needs to be, but how many pages really have to go in it. The compressor will find a way to the target either way; fewer pages simply means each page keeps more detail.
The inch column helps when the scanner software asks for a size in inches instead of millimeters. Multiply the inches by the dpi to get pixels per side: 8.27 inches at 300 dpi is the same 2,480 pixels as in the last column, and the same page at 150 dpi has half as many on each side, a quarter as many in total.
Per-file limits and shared limits
Most upload fields check one file at a time: each PDF has to be under 1 MB, and you can send several. Some portals add up everything you upload instead. The guide for the Indian passport applicant portal published by the Embassy of India in Tallinn is a clear example. It states a maximum of 1 MB, that the total of all uploaded documents should be no more than 1 MB, that documents must be PDF, and that at most five documents can be uploaded per application, including the photograph and signature.
Under a shared rule, compressing every file to 1 MB is not enough. Decide how to split the budget, type each share as the target, and compress each file against its own number. A one-page address proof might get 150 KB while a multi-page document gets 500 KB. Batches here apply one target to every file, so run files that need different shares in separate batches.
Shared limits also explain error messages that seem wrong. A portal can reject a 400 KB file because two earlier uploads already used most of the budget. When that happens, delete the earlier uploads, compress all of them to smaller shares, and upload them again in order.
Keeping a 1 MB scan readable
At this size most text documents come through untouched, and scans lose only detail you would never see at normal zoom. If a scan still looks rough, check its starting point. Photos of documents taken in poor light have gray, noisy backgrounds that cost far more space than a clean flatbed scan, and no compressor can make noise cheap to store.
Convert to grayscale is the strongest single setting for paperwork, and cropping the scan to the edge of the paper is the second. For documents where you only need some pages, Split PDF removes the rest without touching the pages you keep.
When you have the choice, use the scanner's own PDF or document mode rather than photographing the page. It produces flat, white backgrounds and straight pages, both of which compress far better than a photo taken at an angle under room lighting.
Other targets
For email attachments, where limits are much larger, the fixed levels on the main Compress PDF page are usually enough. For stricter forms, choose a smaller size below.
How to compress a PDF to 1 MB
Upload the PDF
Drop the file on the box above or press Choose Files. Up to 20 PDFs can be compressed together.
Use 1 MB or your share of it
The target is 1 MB. If the portal caps all files together, type each file's share instead, for example 300 KB for three documents.
Compress and download
Press Compress and save the result. Add up the sizes when you send several files under one shared limit.
1 MB PDF questions
How do I fit three documents into a 1 MB total limit?
Give each file a share of the budget and leave a little spare. For three documents, a target of 300 KB each adds up to 900 KB. If one document is a single page and another is long, give the long one a bigger share.
Does 1 MB here mean 1,000 KB or 1,024 KB?
The 1 MB target means 1,000,000 bytes, which also satisfies a site that counts 1 MB as 1,048,576 bytes. If you want the decimal number spelled out, the 1000 KB page gives the same target in kilobytes.
Why did my 1.2 MB file come out at 600 KB?
When most of a file's weight sits in one or two large pictures, a single step on those pictures can save a lot at once. The result is under the target, which is what the form checks. Raise Lowest image quality under Advanced settings if you would like the file to keep more detail.
Can I compress a PDF to 1 MB on my phone?
Yes. Open this page in your phone's browser, pick the PDF from Files or your downloads, and save the result the same way. Nothing needs to be installed.
Is the photo and signature part of the 1 MB on passport portals?
On the applicant portal described in the Indian mission's guide, the photograph and signature count toward the five uploads allowed per application, and the guide sets the 1 MB total for documents. Read the instructions on your own application page, as rules can change.
